Citycare Property delivers a wide range of facilities maintenance and management services to a range of local authority, government and private sector clients around the country. Our Workforce Planning team, utilises real-time analytics to guarantee successful delivery of our services — ensuring that our nationwide team of more than 520 operational staff, working out of nine branches, maintains an on-time and on-budget schedule of works. 

The team specialises in providing insights from data to solve problems and challenges through informed decision making designed to optimise and deliver effective and efficient services on the ground — ensuring maximum value for our customers, with service delivery a priority. 

Utilising a range of real-time statistics gathered from an array of sources, the Workforce Planning team is able to optimise multiple work streams and provide clients with up-to-the-minute data.

Planning for the unexpected

Operating out of the Auckland and Christchurch branches, the Workforce Planning team is made up of technical experts split into four main work streams:

  1. Reactive repairs
  2. Programmed workstream
  3. Compliance
  4. GIS mapping

On top of over half a million programmed maintenance tasks, the team is responsible for managing around 37,000 reactive repairs per year — across our building maintenance, open spaces maintenance and sports field maintenance contracts.

“It’s our job to make sure that we understand what our customers need, so that we can quickly and effectively triage the repair request and schedule the right trade or technician,” says Corinne Marsh, National Workforce Planning Manager. “That way we can schedule works to suit our customers’ requirements in terms of priority and availability, but also so we can minimise travel as much as we can. This allows our trades and technicians to spend their time doing what they do best — repairing things.”

Thanks to the data analysis work the Workforce Planning team does behind the scenes, Citycare Property is able to effectively and efficiently complete more than 530,000 maintenance tasks each year.

Driving clients forward, faster and more cost efficiently

Given the critical work that they oversee, working closely with our operations and contract teams, the Workforce Planning team lies at the heart of everything we do within Citycare Property. Workforce Planning represents a level of expertise in this area and is constantly looking at ways that allow us to better fulfil our clients’ requirements.

Having a national team with local people supporting local contracts, means that our processes are streamlined and allow us to provide seamless and reliable services to our customers. This also also the team to take learnings from one area of the business and apply those benefits across our client portfolio.

GIS Mapping is one of the data collection tools being used by the Workforce Planning team to streamline Citycare Property’s workflow processes.

They are involved every step of the way from being on the end of a phone when our clients request a job, to analysing, optimising and planning the delivery of all work to maximise productivity and ensure our contractual requirements are not only met, but wherever possible, exceeded.
